## Overview

ClassPass on Sweatpals puts your published Experiences and bookable services in front of ClassPass members, without a second calendar to maintain. ClassPass reads your schedule directly from Sweatpals about every 10 minutes, books against the spots you choose to share, and those bookings land on the same roster as all your other attendees.

### What's handled where

You keep working in Sweatpals as usual. ClassPass members find and book you through the ClassPass app.

| Handled in Sweatpals | Handled in ClassPass |
| -------------------------------------------------- | -------------------------------------------------- |
| Creating and editing Experiences | The member's booking and payment |
| Choosing what's listed and how many spots to share | Cancelling or rescheduling their own booking |
| Checking attendees in | No-show and late-cancel fees charged to the member |
| Seeing who's coming                                | The member's credits and membership                |

💡 A ClassPass booking is held by ClassPass, so you can't cancel, refund or transfer it from inside Sweatpals. More on that below.

## Getting connected

ClassPass can't be switched on from your account directly. The Sweatpals team enables it once your agreement with ClassPass is in place. Until then, the ClassPass card in **Integrations** shows a message to contact support instead of a connect button.

### Setup steps

1. Contact Sweatpals support to get started. We'll let you know the next steps for your ClassPass agreement.
2. Once your agreement is in place, the Sweatpals team enables ClassPass for your Community.
3. In Sweatpals, go to **Integrations** and click **Configure** on the ClassPass card. Under **ClassPass IDs**, copy your **Partner ID** and, if ClassPass asks for it, the **Venue ID** for each location.
4. Send the IDs to ClassPass support.
5. The first time you open the ClassPass page, you'll answer one quick question about what to list.

### About your IDs

| ID             | What it identifies                                                                                          |
| -------------- | ----------------------------------------------------------------------------------------------------------- |
| **Partner ID** | Your whole Community |
| **Venue ID** | One location. Sweatpals creates one for each place you run a listed Experience, once ClassPass is connected |

Both IDs are read-only, so there's nothing to set up or type in.

:::BlockQuote
💡 Don't see any Venue IDs yet? Make sure ClassPass is connected and at least one listed Experience has an address. Venue IDs are created per location, and opted-out Experiences don't create one.
:::

### The first-run question

You'll be asked once how you'd like to start:

- **List all experiences** keeps every eligible Experience listed on ClassPass.
- **I'll select specific experiences** opts out all your current Experiences, so you can turn on only the ones you want.

Either way, you can switch any Experience on or off at any time afterwards.

:::BlockQuote
⚠️ Experiences you create later are listed by default, including events and retreats. Check the listings table after adding new ones, and opt out anything you don't want on ClassPass before it gets bookings.
:::

### Already on ClassPass through another system?

If you already list on ClassPass through another booking system, like Mindbody, you don't need a new agreement. ClassPass runs a switchover that moves your schedule to Sweatpals:

1. The Sweatpals team enables ClassPass and you send your IDs to your ClassPass rep.
2. Set up your listings and availability, and make sure your schedule is live on Sweatpals before the switchover date.
3. ClassPass sets the switchover date with us. Within a few hours, ClassPass starts reading your schedule from Sweatpals.

ClassPass will ask what to do with upcoming bookings made through your old system. Cancelling them is the cleanest option. If you keep them, they only show in your ClassPass Partner Dashboard, not on your Sweatpals roster, so add each one to the matching class at no charge to hold the spot. Cancellations of those bookings don't reach Sweatpals either, so check your Partner Dashboard and remove the attendee when one is cancelled.

## What gets listed on ClassPass

An Experience appears on ClassPass when all of these are true:

| Requirement                       | Why it matters                                                              |
| --------------------------------- | --------------------------------------------------------------------------- |
| **Published** | Drafts and unpublished Experiences are never sent |
| **Public** | Private Experiences stay private |
| **Has an address** | ClassPass lists everything under a venue, so an Experience needs a location |
| **Has dates in the next 30 days** | The listings table shows a rolling 30-day window |
| **Listed (not opted out)** | Listing is on by default |

📍 Online-only Experiences and Experiences without a location don't appear on ClassPass.

## Turning Experiences on and off

Go to **Integrations** and open **ClassPass** to see your listings table. Each row is one Experience, with its schedule, location, price, spots and a ClassPass toggle. Use the tabs at the top to filter by **All**, **Listed** and **Opted out**.

You can also:

- Select several rows and list or opt them out at once (up to 200 at a time)
- Search by name
- Export the current view to CSV

:::BlockQuote
🔄 Changes reach ClassPass at the next refresh, usually within 10 minutes.
:::

### Grouping classes

ClassPass lists each series as its own class and builds its ratings and pricing from that class's history. If you run the same class at different times as separate series, group them as one ClassPass class. Look for the suggestion at the top of your listings table.

:::BlockQuote
⚠️ Only group the same class, and do it early. Changing a group later restarts that class's history on ClassPass.
:::

### When you opt an Experience out

It stops being offered on ClassPass right away, and **all of its upcoming ClassPass bookings are cancelled**. Those members have to rebook in the ClassPass app.

:::BlockQuote
⚠️ To stop new ClassPass bookings without losing the ones you have, set Global availability to 0% instead (see below).
:::

***

## How many spots ClassPass gets

You set one percentage for your whole Community under **Global availability**. It starts at 100%. It's the share of each listed Experience's spots that ClassPass can book, and it also applies to Experiences you list later.

The share is calculated for each date, based on that date's capacity:

| Total spots | Availability | Spots on ClassPass |
| ----------- | ------------ | ------------------ |
| 20          | 50%          | 10                 |
| 20          | 25%          | 5                  |
| 15          | 30%          | 4                  |
| 20          | 0%           | 0                  |

Fractions round down, so 30% of 15 spots is 4.

:::BlockQuote
⚠️ For small classes this matters: 20% of 4 spots is 0. Raise the percentage if a small class isn't getting ClassPass bookings.
:::

:::BlockQuote
💡 Setting availability to 0% stops new ClassPass bookings while keeping your connection in place. Your sessions stay on ClassPass with 0 spots, and existing bookings are kept.
:::

### The rest of your spots

The percentage is a limit for ClassPass, not a reservation. Direct Sweatpals bookings use the same pool of spots, so if an Experience sells out directly, there's nothing left for ClassPass. Spots are rechecked the moment a ClassPass member books, so your classes can't be overbooked between refreshes.

### Unlimited and changing capacity

- **Unlimited capacity** Experiences show as Unlimited and are offered to ClassPass freely.
- **Capacity that changes between dates** shows as a range, for example 10 to 20. This happens when you edit capacity partway through a recurring Experience.

***

## Changing your schedule

ClassPass only sees the dates and times Sweatpals sends it, so some changes cancel ClassPass bookings. Check this before you edit an Experience that already has ClassPass bookings.

- **Moving a start time**, even by 5 minutes, cancels the ClassPass bookings on that date. Members have to rebook in the ClassPass app.
- **Cancelling a single date** only cancels that date on ClassPass. The rest of the series stays as it is.
- **Opting an Experience out** cancels all of its upcoming ClassPass bookings.

:::BlockQuote
💡 To stop new ClassPass bookings without losing the ones you have, set Global availability to 0%. It applies to your whole Community.
:::

### Retreats and multi-day events

Anything longer than 24 hours shows on ClassPass as a single 1-hour session on its first day. Opt retreats out in the listings table before they get ClassPass bookings, unless that works for you.

***

## When a ClassPass member books

The booking appears on your Sweatpals roster within seconds, like any other RSVP. To see which attendees came through ClassPass, open the Experience and go to the RSVPs tab: the Purchaser column shows ClassPass, and the All sources filter lets you show only ClassPass bookings. On the Check-In tab they look like regular attendees, except for the missing waiver tag (see Waivers below).

:::BlockQuote
💵 The order shows a $0 value. That's expected: the member already paid ClassPass, so no money moves through Sweatpals at booking time.
:::

### What you can't do with a ClassPass booking

| Action                      | What happens instead                         |
| --------------------------- | -------------------------------------------- |
| Cancel the booking | The member cancels in the ClassPass app |
| Refund the order | ClassPass handles the member's payment |
| Move or transfer the ticket | The member rebooks in ClassPass |
| Remove the attendee | The member cancels in the ClassPass app |
| Edit intake form answers | Ask the member, or contact ClassPass support |

You can still cancel the whole Experience as usual, and ClassPass is notified at the next refresh.

### Member details and messages

ClassPass decides which member details to share. You'll always see a name, but email and phone number are often missing or masked. When there's no email, email actions for that attendee aren't available.

:::BlockQuote
🔕 ClassPass members don't receive reminders, emails, SMS or push notifications from Sweatpals. This is part of ClassPass's partner terms.
:::

### Waivers

ClassPass bookings don't include a waiver, so ClassPass members show a **missing waiver** tag on your roster and check-in screen. When they arrive, click **Sign waiver now** next to their name on the check-in screen so they can sign on your device. The tag clears, and the waiver stays on file for their future bookings.

If your appointments normally require an intake form, collect it when the member arrives.

:::BlockQuote
💡 Add "you'll be asked to sign a waiver on arrival" to your class description. It shows in the ClassPass app and helps set expectations.
:::

***

## Appointments

One-to-one services like personal training, treatments and consultations can be listed on ClassPass too. They're enabled separately from classes, so you can offer classes only, appointments only, or both. Once enabled, you'll see an **Appointments** tab on your ClassPass page.

Appointments work like classes, with three differences:

- **The availability percentage doesn't apply.** ClassPass sees whatever your providers' schedules leave open, minus anything already booked.
- **Availability is live.** Direct bookings, working hours, buffers and blocked time are all taken into account, so ClassPass is never offered a time your Sweatpals booking page wouldn't accept.
- **Every service needs an address.** A service without a location shows as "No location" in the table and isn't offered until you add one.

Each service is listed by default and has its own toggle. ClassPass shows appointment availability about 2 weeks ahead.

## Tracking performance

Your ClassPass page opens with a summary of the current month:

| Tile                   | What it shows                                                          |
| ---------------------- | ---------------------------------------------------------------------- |
| **Listed experiences** | Listed Experiences out of eligible ones, for example 12 of 18 |
| **Avg fill rate** | ClassPass bookings as a share of spots offered to ClassPass this month |
| **Attendees** | ClassPass bookings this month that still hold a spot |
| **Revenue**            | Coming soon                                                            |

Fill rate only includes Experiences with a capacity limit. The Appointments tab shows listed services out of eligible ones, and bookings this month.

***

## Checking in ClassPass attendees

ClassPass bookings don't come with a QR ticket, so check ClassPass members in manually from your roster. Checking in marks them as Attended and helps you keep track of who showed up, but it doesn't affect your payout. A ClassPass member who booked still counts as a paid visit, even if they're never checked in.

***

## Cancellations, no-shows and late cancels

Members cancel their own bookings in the ClassPass app, and they're removed from your roster automatically. ClassPass runs its own no-show and late-cancel policy and charges the member directly, so your Sweatpals attendance policy doesn't apply to ClassPass bookings.

You're still paid for no-shows and late cancels that fall inside your cancellation window, at the same rate as attended visits.

***

## Getting paid

ClassPass pays Sweatpals once a month, and we transfer your share to your connected Stripe account. For each ClassPass visit, you'll receive roughly 30 to 40% of your listing price. No-shows and late cancels that fall inside your cancellation window are paid at the same rate.

For payout questions, contact our support team.
